Organizations
An organization is the top-level container in Production Planner. It groups your projects and team members together. Every project belongs to an organization, and organization members can be quickly added to any project within the group.
Creating an organization
When you create an organization, you become its first member with active status. From there, you can invite others to join by email. Organizations are named (e.g., "Acme Productions", "Festival Team 2026") and can be renamed at any time.
Membership
Organization members have the following attributes:
- Name and role (job title).
- Email used for identification and invitations.
- Phone number (optional).
- Profile image (optional, can be uploaded through the organization settings).
- Status: either "pending" (invitation sent, not yet accepted) or "active" (member has joined).
When you invite someone, they receive an email with a link to accept or reject the invitation. Once accepted, their status changes to active and they can access the organization's projects.
Member management
Organization members can:
- Update member details (name, role, phone, profile image).
- Remove members from the organization.
- Upload profile images for members.
When a member is removed from the organization, their access to the organization's project list is revoked.
Projects and organizations
Every project is created under an organization. This means:
- All projects in an organization are visible to its members.
- When adding team members to a project, you can pick from the organization's member list for quick access.
- Organization members who are added to a project are automatically marked as "accepted" since they already have an account.
You can also share projects with people outside the organization by inviting them directly via email (see Team & Permissions).
Typical setup
A common pattern is to create one organization per production company, department, or team. Then create a project for each production. This way:
- Your regular crew is always available in the member picker.
- New productions start fast because you do not have to re-invite everyone.
- You have a single place to manage team profiles and contact information.
