Tasks & checklists

Tasks give your team a shared checklist for the production. Create items, break them into subtasks, assign who is responsible for completing them, and track progress as work gets done. Tasks update in real time so everyone sees the current state.

Creating tasks

Each task has:

  • Label: a short description of what needs to be done.
  • Completion status: checked or unchecked.
  • Assignees: which team members are allowed to mark this task as complete (see completion permissions below).

Tasks are created by team members with write permission. The creator is tracked so you can see who added each item.

Subtasks

Any task can have subtasks. Subtasks are nested items within a parent task, each with their own label, completion status, and assignees.

Use subtasks to break a larger item into smaller, actionable steps. For example, a "Stage Setup" task might have subtasks like "Position monitors", "Run cable", and "Mic check".

Progress is tracked at all levels. The task list shows a counter like "3 of 7 complete" so you can see how far along the team is.

Completion permissions

Each task has a "can be completed by" setting that controls who is allowed to check it off:

  • Anyone: any team member on the project can mark the task as complete.
  • Specific members: only the selected team members can complete the task.

This is useful when certain tasks should only be signed off by a specific person, such as a safety check that must be confirmed by the production manager.

Team members with read-only permission can still toggle tasks if they are listed as an authorized completer. This allows you to give someone limited editing ability for task completion without granting full write access to the project.

Task management

Additional task management features:

  • Reorder tasks: drag tasks into the order that makes sense for your workflow.
  • Filter view: toggle between seeing all tasks or only those assigned to you.
  • Completion tracking: each completed task records who marked it done and when.
