Team & permissions
Every project has a team. Team members are the people who collaborate on your production, from the stage manager to the lighting designer to the catering coordinator. You control who has access, what they can do, and which department they belong to.
Inviting team members
There are two ways to add someone to a project:
- From your organization: if the person is already a member of your organization, you can add them directly. They will be marked as accepted immediately.
- By email invitation: enter their name and email address, and they will receive an email with a link to join the project. Their status will show as "pending" until they accept.
When you invite a team member, you provide their name, email, role (job title), and optionally a phone number.
Invitation status
Each team member has one of three statuses:
- Pending: the invitation has been sent but not yet accepted.
- Accepted: the member has joined the project and can access it.
- Rejected: the invitation was declined.
Organization members added to a project are automatically set to "accepted" since they already have an account.
Permission levels
Each team member is assigned one of two permission levels:
- Read: the member can view all project content but cannot make changes. This is suitable for stakeholders, clients, or anyone who needs visibility without editing access.
- Write: the member can view and edit all project content, including schedules, resources, tasks, budget, and team settings. This is the default for new invitations.
The project creator (owner) always has write access and cannot be downgraded.
Note that budget data is only visible to members with write permission. Read-only members will not see budget information.
Departments
Departments help you organize team members into functional groups. Examples include "Lighting", "Audio", "Catering", or "Stage Management".
- Create as many departments as your production needs.
- Each team member can belong to multiple departments.
- Departments are project-specific, so different productions can have different department structures.
Departments are organizational. They do not affect permissions.
Member profiles
Each team member record includes:
- Name and role (job title).
- Email address (used for invitations and identification).
- Phone number (optional, visible to other team members).
- Profile image (optional, synced from their organization profile).
- Department assignments.
